Coach-to-client program handoff checklist

Use this checklist when a client needs to move from invite and intake into a reviewed program assignment with clear next steps.

01 / /clients

Prepare the roster handoff

Start in the client roster so you can confirm whether the person already exists, needs an invite, or needs profile cleanup before programming.

Steps

  1. Open Clients from the coach area.
  2. Search or scan for the client before creating anything new.
  3. Confirm the next action: invite, review detail, or continue to programming.

Done state

You know whether this client is active, pending, or missing from the roster before taking the next action.

Common miss

Do not create a duplicate record if the client is already invited or active under a slightly different name.

02 / /add-client

Invite or add the client

Create the client relationship in RaiNGE so the client can complete their side of onboarding and receive training.

Steps

  1. Open Add Client from the coach area.
  2. Enter the client's name and contact details using final, client-facing information.
  3. Submit the invite or client record and return to the roster when the record is created.

Done state

The client has a pending or active record with the correct contact details and can move into intake completion.

Common miss

Double-check contact details before sending; a typo here turns into a support issue before the client ever trains.

03 / /clients

Confirm intake and client details

Review the client detail page before building training so readiness, constraints, and missing profile items are visible.

Steps

  1. Open the client detail view from the roster.
  2. Review profile status, intake details, recent activity, and any readiness signals.
  3. Pause the handoff if required details are missing, or continue when the profile is ready enough to program.

Done state

The client profile has enough detail for a responsible first program, or you have identified what must be collected first.

Common miss

Avoid treating an invitation as completion; a pending or incomplete profile may still need client action before programming.

04 / /programs

Build the training program

Create or select a program structure that matches the client's readiness, goals, and coaching constraints.

Steps

  1. Open Programs from the coach area.
  2. Create a new program, duplicate a usable template, or continue an existing draft.
  3. Shape the program around the client's known schedule, equipment, capacity, and coaching goal.

Done state

A program draft exists with the sessions, weeks, and training blocks needed for the client's first assignment.

Common miss

Review the structure even when a template or generated plan looks complete at first glance.

05 / /programs

Review sessions before assignment

Check the program as a coach before exposing it to the client experience.

Steps

  1. Open the program you intend to assign.
  2. Review the first week and the first session the client will see.
  3. Confirm exercises, notes, timing, and any coach-specific instructions before saving.

Done state

The program has been reviewed for session order, exercise details, notes, and assignment readiness.

Common miss

A program can look ready from the list view while still missing session notes, exercise details, or the intended first workout.

06 / /programs

Assign the program to the client

Connect the reviewed program to the intended client so it appears in their RaiNGE training area.

Steps

  1. Use the assignment action from the reviewed program.
  2. Select the intended client and confirm any start timing or assignment details.
  3. Save the assignment and verify that RaiNGE reports the program as connected to that client.

Done state

The client has the intended program assignment with the correct start date and next workout available.

Common miss

Confirm the selected client before saving; the same coach may be managing multiple clients with similar names.

07 / /my-program

Confirm what the client will open

Understand where the client opens the program so your handoff message points them to the right place.

Steps

  1. Review the client-facing My Program destination used after assignment.
  2. Confirm the first visible training block or session matches the saved assignment.
  3. Use these details in the follow-up message so the client knows exactly where to begin.

Done state

You can describe where the client should go and what they should expect to see when opening their assigned program.

Common miss

Do not assume the client knows whether to start from the dashboard, My Program, or a workout link.

08 / /chat

Send the first next-step message

Close the handoff with a short message that tells the client what changed, where to go, and what to do first.

Steps

  1. Open Chat and choose the client conversation.
  2. Tell the client the program has been assigned and where to open it.
  3. Include the first workout expectation and invite questions if anything looks off.

Done state

The client has a clear message explaining the assigned program, the first workout, and when to ask for help.

Common miss

Avoid vague messages like 'program is ready'; name the first action so the client can move without guessing.
