Coach onboarding

Onboard a coach and prepare the first client

Use this runbook when a coach needs to sign in, confirm roster access, add a client, review context, and prepare a first assignment.

01 / /coach-auth

Confirm coach access

Sign in through the coach page and make sure RaiNGE opens the coach area.

Steps

  1. Open the coach sign-in route from the public onboarding guide.
  2. Authenticate with your assigned coach account.
  3. Confirm the app opens the coach area before continuing to roster work.

Done state

You can see the coach dashboard with areas for clients and programs.

Common miss

Use your own coach account. Shared demo logins can hide who made a change.

02 / /clients

Check the roster before adding anyone

Review the clients area so you know where active and invited clients are managed.

Steps

  1. Use the primary navigation to open Clients.
  2. Scan the roster for active, pending, and recently updated clients.
  3. Select the client you want to review or continue to the add-client flow.

Done state

The roster is visible and you can identify where client records, statuses, and next actions appear.

Common miss

Avoid starting program work before confirming that the intended client appears in the roster.

03 / /add-client

Add or invite a client

Create the client record needed before onboarding, programming, and communication can begin.

Steps

  1. Open Add Client from the coach area.
  2. Enter the required client details using the information provided by your organization.
  3. Review the form and submit the invite or client record.

Done state

The client has been added or invited, and their record is ready for profile completion and program assignment.

Common miss

Make sure the client name and contact details are final before sending the invite, because this becomes the client's first impression.

04 / /clients

Review client readiness

Use the client profile to understand readiness, recent updates, and the details needed for coaching decisions.

Steps

  1. Open a client from the roster.
  2. Review profile fields, status indicators, and recent activity.
  3. Note any missing information before creating or assigning training.

Done state

You have reviewed the client's available details and know whether intake, programming, or follow-up is the next best action.

Common miss

Do not assume an invited client is ready for programming until their profile and intake status are clear.

Review Digital Twin notes

Digital Twin is RaiNGE's training profile. Use it to review readiness, limits, and coaching notes before choosing training.

Steps

  1. Open Coach Digital Twins from the coach area.
  2. Select or locate the client whose training profile you need.
  3. Review readiness, constraints, and notable recommendations before programming.

Done state

You can find the relevant Digital Twin summary and use it to inform program choices.

Common miss

Use the Digital Twin as a coaching aid. Pair it with client details and your own judgment before changing training.

06 / /programs

Build or select the program

Build a structured training program that matches the client's needs and the coaching plan.

Steps

  1. Open Programs from the coach area.
  2. Start a new program or choose an appropriate template.
  3. Review the program structure and session details for fit.

A program draft exists with the structure, sessions, and key training details needed before assignment.

Common miss

Avoid assigning a partially reviewed draft; check the structure and session details before moving on.

07 / /programs

Review and assign

Connect the finished program to the right client so their training appears in the client experience.

Steps

  1. Open the program you intend to assign.
  2. Choose the client assignment action.
  3. Confirm the client, start timing, and assignment details before saving.

The selected client has the intended program assignment and can access the next training steps.

Common miss

Confirm the client selection before assignment; assigning the right program to the wrong client creates avoidable support work.

08 / /chat

Send the handoff or support message

Use messaging to keep coaching handoffs, client questions, and support needs connected to the right RaiNGE record.

Steps

  1. Open Chat from the main navigation.
  2. Select the relevant client, teammate, or support conversation.
  3. Write a concise message that includes the action needed and the details behind it.

Done state

You can open chat, choose the right conversation, and send a clear message with enough detail for the next person to act.

Common miss

Include the client or program details so the team can act without follow-up.
